Setting up Smart Tags

Smart Tags allow users to automatically tag feedback in win-loss interviews based on specific keywords. By configuring these tags, users can efficiently organize feedback and receive notifications when key terms are mentioned, streamlining the process of categorizing and tracking important insights.

Overview

With Smart Tags, users can customize specific keywords and receive notifications when those words are mentioned in interviews or surveys. This feature builds on our existing tagging functionality, allowing you to automate the process of organizing feedback. Instead of manually tagging specific phrases or insights, you can configure keywords that will automatically trigger a tag whenever they appear in a transcript.

 

How Smart Tags Work

Smart Tags scan the text of your win-loss interview transcripts for the keywords you've set up. When these keywords are detected, the system automatically tags the relevant sentence, significantly reducing the manual effort required and ensuring consistent tagging across your feedback.

  • Notifications: Users can subscribe to specific tags and receive notifications whenever these tags are applied to new feedback.

Example Use Case:

If a user wants to track every instance where "AI" is mentioned in their interviews, they can set up a Smart Tag for "AI." Each time this keyword appears in new feedback, the system will automatically apply the Smart Tag, making it easy to find and review these mentions later.


How To Configure Smart Tags

To set up a Smart Tag, follow these steps:

 

1. Navigate to the Tags tab.

2. Click the + New Tag button and select Smart Tag as the tag type.

  • 2a. Select a Category.

Choose an existing category or create a new one to organize your Smart Tag.

  • 2b. Name Your Tag.

Enter a name for your tag. This will be used to identify the tagged feedback.

  • 2c. Add Related Keywords.

Optionally, add keywords or phrases that will trigger this tag when detected in a transcript. Separate multiple keywords with commas.

  • 2d. Tag Existing Feedback:

Enable the option to scan past deals for the keywords associated with your Smart Tag. This allows you to retroactively tag existing data without sending notifications.

3. Save Your Smart Tag.

Click Save Smart Tag to complete the setup. The system will now automatically tag any new feedback that contains your specified keywords.

 

 

Subscription and Notifications

Users can subscribe to tags by hovering over them and clicking the email icon that appears.

Once subscribed, they will receive email notifications whenever a new instance of that tag occurs, ensuring they stay informed about key feedback in real time.

Frequently Asked Questions

Do I have to use Smart Tags?
No, users can still create “manual” tags. Existing tags won’t be automatically updated to Smart
Tags.


Are Smart Tags compatible with my existing tags?
Yes! You can even change existing tags to Smart Tags if you want. Smart Tags include a new
“Competitors” tag category. If you have an existing competitor category, we suggest merging it
with the new Competitors category.


How do I know if a tag is a Smart Tag?
Look for the little lightning bolt inside the colored tag! This denotes automation and helps
differentiate between ordinary tags and Smart Tags.

 

When are Smart Tags added to an interview?
Clozd scans interviews for keywords when the interview is published. Smart Tags won’t be
applied to interviews that have not been published yet.


Can I subscribe to notifications for tags that I’m interested in?
Yes! Click the envelope icon next to each Smart Tag to be notified anytime that tag appears in
published feedback.


Can I tag any feedback channel (interviews, surveys, etc.)?
Tags are supported on all published interviews, including premium, scale, flex, and sales rep
interviews. Tags are not supported on surveys.


What is the new Competitors section I see on the Tags page?
By default, the Clozd Platform creates a Smart Tag for every competitor. Mentions of each
competitor in interviews are displayed on each competitor’s dashboard. These new competitor
tags are grouped in a new default tag category called “Competitors”. If you have an existing
competitor category, we suggest merging it with the new Competitors category.


Can I edit tags in bulk?
Yes! Users can now select multiple tags and merge them, move them to a different category, or
delete them. Users can also select multiple quotes that have been tagged and reassign them to a
different tag or remove them completely.


Can I export my tags from Clozd?
Yes! You can export a CSV of all tags from the Tags page.


Can I get tag data through the Clozd API?
Tags are not currently available through the API.


Can I create roles that limit who can view or edit tags?
No, currently all users can view and edit tags. Clozd does not currently support RBAC for tags.
